Privacy policy

This page explains what personal data I collect through this website, why, and what your rights are. In short: I only use your details to reply to you and to do the work you ask for, and I never sell or share them for marketing.

Who is responsible for your data

What I collect

  • When you use the contact form: your name, email address, phone number (optional), company name, VAT number (optional), what you need help with, the tools you use today, how you would like to continue, and your message.
  • When you email or call me: the details you choose to share.
  • When we work together: the business information needed for the job. When I work in your own Odoo account, I process your data only on your instructions and only for that job, as set out in my quote.

Why I use it, and on what basis

  • To reply to your request, arrange a call and send you a proposal. Basis: steps you ask for before a possible contract (GDPR art. 6(1)(b)).
  • To carry out and invoice the work you order. Basis: the contract (art. 6(1)(b)) and my legal obligations, such as bookkeeping and tax rules (art. 6(1)(c)).
  • To keep a simple record of past contacts so I can follow up on your request. Basis: my legitimate interest in running my business (art. 6(1)(f)).

I do not send newsletters or marketing emails, and I do not use your data for automated decisions or profiling.

Where it is stored and who sees it

Your details are stored in my business system, Odoo, hosted by Odoo S.A. in the European Union, and in my business mailbox (Microsoft 365). These providers act as my processors. I do not sell your data or share it with anyone else, except where the law requires it (for example, my accountant for invoices, or the tax authorities).

How long I keep it

  • Enquiries that don't lead to work: deleted at the latest 12 months after our last contact.
  • Clients: invoices and accounting records are kept for as long as Belgian law requires (currently 10 years). Other job data is deleted at the end of the job unless you ask me to keep it.

Cookies

This website only uses the technical cookies it needs to work (for example, to remember your session and language). It does not use analytics, advertising or tracking cookies.

Your rights

You can ask me at any time to see, correct or delete your data, to limit how I use it, to object to its use, or to receive it in a portable format. Just email scott.sutherland@3dpe.biz. I reply within one month.

If you think I have not handled your data properly, you can complain to the Belgian Data Protection Authority: www.dataprotectionauthority.be.

Changes

If this policy changes, the new version is published on this page with a new date.
